General Policy and Procedures

Studio Rules:
- No students are to be in the studio without a teacher or assistant teacher present
- Uniform or appropriate dance attire must be worn and hair must be tied up at all times – students not abiding by this rule cannot join in on class
- No food in the studio
- Students more than 10 minutes late are not allowed to join in class due to risk of injury
- Parents are not permitted in the dance studio unless invited by the teacher. This is to limit distractions
- All students are to be respectful to all teachers, assistant teachers, parents and other student at all times and are asked to come into the studio with a positive attitude ready to learn
- Most important rule of all have fun

Enrolment Policy:
- An online enrolment form must be completed prior to students attending class with the exception of pre-booked trial lessons – book via email admin@vikingscheerleading.com
- Enrolment is valid for one calendar year and new enrolments must be completed at the beginning of each calendar year
- Fees are invoiced by the term and must be paid by the due date on the top of the invoice, any late invoices will incur a 10% late fee
- No refunds or credits for missed classes
- We take enrolments year round
- Any student enrolling in a class late in the year after the class they join has already started to learn their end of year concert dance may be added to the dance from where the class is up to in the dance, this is a decision which will be made by the teacher of the class

Parent/Guardian-Studio Communication Policy:
- Parents/Guardians must provide a valid email address and contact phone number as well as a secondary emergency contact
- Important information, invoice and newsletters will be email to the primary contact
- It is the responsibility of at least one parent or guardian to read all newsletters and emails that are sent from Eastern Cheer and Dance Academy to keep informed
- All communication between any parent/guardian and any Eastern Cheer and Dance Academy staff member, student or parent/guardian must not offend, intimidate, humiliate or bully any other person
- All communication between any parent/guardian and any Eastern Cheer and Dance Academy staff member, students or parent/guardian must not be misleading, false or injure the reputation of another person

Heat Policy:
- Classes will be cancelled if the weather is 38 degrees or above, this will be determined by the Bureau of Meteorology website
- Classes will be modified on days when the weather is 33 degrees or above also determined by the Bureau of Meteorology website
- Once the temperature reaches 38 degrees you will be notified via email, text message and on our social media that classes have been cancelled. You may collect students immediately, staff will stay at the studio with students until they are collected.
- There are no refunds for classes cancelled due to extreme heat, where possible we will organise make up lessons

Query & Complaint Procedures:
- We appreciate sometimes parents need to talk to teachers about their children but this may not happen during class time. Please ask teachers questions before or after class or email our principle Miss Annie – admin@vikingscheerleading.com
- If your query regarding your child is lengthy or private in nature please arrange a time to speak with the teacher and/or Miss Annie via email
- If you wish to lodge a complaint about another member of the studio please email coachannie@vikingscheerleading.com
- All complaints and queries will be dealt with promptly, seriously, sensitively and in private where necessary 

Injury Policy:
- Dancing is an activity where injuries can occur
- Injuries must be reported to the teacher by the student. This is important so we are aware of the injury and can provide first aid if necessary
- All teachers are first aid certified and will report all injuries to Miss Annie as necessary and will give advice to the student and their parents regarding possible further treatment if necessary

Child Safety Policies and Procedures:
- Eastern Cheer & Dance Academy is committed to ensuring that children and young people who participate in its activities have a safe and happy experience. Eastern Cheer & Dance Academy supports and respects children, young people, staff, volunteers and participants.
- The aim of Eastern Cheer & Dance Academy's Child Safe Policy (the policy) is to protect the safety of children in our care and prevent  abuse from occurring,  and  in  the  event  that  allegations  are  raised  in relation to child abuse, to ensure that the allegations are properly addressed. All complaints will be treated seriously and fully investigated and handled with maximum confidentiality and discretion.

- Eastern Cheer & Dance Academy is committed to providing the highest level of membership service. This includes protecting members' privacy, promoting positive behaviours and attitudes, protecting the health safety and wellbeing of members, particularly children and delivering Eastern Cheer & Dance Academy’s activities while acting in the best interests of children in the sport.
- Specifically, Eastern Cheer & Dance Academy considers that the health, safety and well-being of children take priority over all other competing considerations. Eastern Cheer & Dance Academy considers that this is necessary to ensure the health, safety and welfare of all members and protect the image and reputation of dance, Eastern Cheer & Dance Academy and its affiliate members.


COVID SAFE POLICIES AND PROCEDURE FOR STAFF, STUDENTS AND PARENTS:


Policies and procedure for teachers

- Rolls are to be vigilantly taken
- Masks are not currently mandatory however teachers may choose to wear them if they wish – if the government changes the rules regarding masks teacher must wear masks unless teaching or demonstrating
- Teachers must stay home if they have any cold or flu like symptoms and not return to work until they receive a negative COVID test
- Teachers are to wash their hands upon entering the building as well as between each class
- Teachers are not to physically adjust students
- Teachers will wiped down all high touch surfaces (barres, door handles, taps etc) between every class
- Teachers will modify classes adding extra breaks and stopping and starting more often to lower the risk of sweating and heavy breathing

Policies and procedures for students
- Masks are not currently mandatory however students may wear them if they wish – if the government reintroduces mandatory mask wearing all students 12 years and old must wear masks unless performing strenuous exercise in class, teachers will decide when masks can be removed
- Students under the age of 12 are not required to wear a face covering but may chose to if they wish
- All students must have their own drink bottle
- Students must stay home if they have any cold or flu like symptoms, if a student attends with any symptoms teachers will contact parents to return and pick their child up immediately
- Students are to wash their hands upon entering the building and between each class
- All students are to arrive in full uniform where possible (students coming straight from school who can dress themselves may change at the studio)
- Students must keep their hands to themselves at all times
- Students are to remain on the social distancing squares marked on the floor at all time during class
- Students are to remain at the studio for minimal time possible, arrive just before class begins and leave as soon as class is over

Policies and procedures for parents
- Parents are to drop students off at the front or side door to the building no parents are allowed to enter the building
- Only exception to the above rule is parents of tiny tot dancers, one parents per tiny tots is allowed to stay but must sit 1.5 metres apart in the gallery and only touch their child’s shoes, bag, water etc.
- Masks are not currently mandatory however parents may wear them if they wish – if the government rules regarding mask wearing changes parents must wear a face covering unless they have a medical reason not to
- Make sure we have up to date contact details for both the primary and secondary emergency contacts for students so we can contact you if the student is unwell and needs to be picked up or in the unlikely event of a case being present in anyone at the studio

Cleaning and disinfection policy and procedure
- All rooms are thoroughly cleaned and disinfected daily
- High touch areas such as door handles, barres, taps etc. will be wiped down between every class
- Hand towels have been replaced with paper towel in the bathroom and kitchen
- All shared equipment will be wiped down between every class and disinfected daily
- Where possible teachers will limit the amount of extra equipment used in class
- All clean supplies are only to be used by teachers or assistant teachers
